  • How do I route a proposal?

    1. Attach the CHS Routing and Approval Form to your completed proposal.

    2. Principal Investigator signs CHS Routing Form under Section III (1) and obtains signature of Department Chair as indicated in Section III (2).

    3. Submit proposal with attached CHS Routing Form to Joey Shevlin (704-355-0958) or Clayton Owens (704)355-5676 at Carolinas HealthCare Foundation no later than 72 hours before the proposal must be mailed out. This office will review the proposal and obtain institutional approval from the appropriate Senior Vice President if the proposal, including the budget, is found to comply with CHS and sponsor guidelines.

    4. For electronic application submissions follow steps 1 and 2. Print and attach abstract and budget pages and submit to Joey Shevlin (704) 355-0958 or Clayton S. Owens (704) 355-5676 at Carolinas HealthCare Foundation. Please note: Electronic applications should be emailed to Joey Shevlin for review, no later than 3 business days before electronic submission deadline.
  • How do I route a clinical trial?
    Attach the Clinical Trial Routing Form to the budget, protocol, and clinical trial agreement (if available) and forward to Joan Connell (704-355-0618) at the Office of Clinical and Translational Research.
  • What are the indirect cost rates?
    44% of total costs, excluding subcontracts and capital expenses.

    26.5% of total direct costs for corporate sponsored programs.
  • What is the fringe benefit rate?
    22.35% of base salaries and wages.
  • How do I charge a portion of my salary to a grant?
    Contact Angela Sanford (704-355-3972) in the Office of Research Finance, to establish a Time Effort Report.

  • How are revenues and expenses charged to the study?
    A department number is assigned to the study and all revenues and expenses run through it. Every research study must have a PeopleSoft department. The principal investigator/program director should request a department number at the time he/she is certain that a contract will be signed. The department number will not, however, be issued until the contract has been fully executed by all parties. If allowable expenses are incurred prior to department assignment, the expenses can be transferred to the study department upon written request by the principal investigator. Otherwise, no expenses will be allowed prior to the contract's execution. Contact Angela Sanford (704-512-4093) in Research Finance to establish a department number.
  • How do I charge patient care or lab expenses to a study?
    A Research Facility Account is necessary when a research study will involve billable patient care procedures performed by departments within CHS facilities. The Research Facility Account should be established prior to a research patient incurring any research related medical expenses. However, no procedures should be performed until a contract has been signed by all parties. If the Research Facility Account is requested before contract approval, a Request for PeopleSoft Department MUST accompany it. If a PeopleSoft department has already been assigned to the research study, this number should be referenced in a cover memo attached to the Request.   • How do we assure compliance with the HIPAA Regulations?
    Carolinas HealthCare Foundation has developed policies and procedures to assure that privacy rights of potential donors and grateful patients are not violated.     The Office of Clinical and Translational Research, in cooperation with the Institutional Review Board, has developed policies and operating procedures to protect the privacy rights of research subjects.   • How do I apply for a grant from the Foundation?
    At this time, Carolinas HealthCare Foundation does not accept unsolicited requests for funding.
  • Who is authorized to sign proposals on behalf of CHS?
    The appropriate senior vice-president or the individual designated by the senior vice-president.
  • How can I keep up-to-date on funding opportunities?
